Website Privacy Policy

This privacy policy explains how Rodmersham Primary School uses personal information collected through this website.

This policy applies only to information submitted through the website contact forms. It does not cover other personal information the school may collect about pupils, parents, carers, staff, governors or visitors through other school processes. Separate school privacy notices may apply to those activities.

Information we collect through the website

The website contains two contact forms:

  1. General contact form
  2. Thank a Staff Member form

When you use these forms, we may collect the information you choose to provide, including:

  • your name
  • your email address
  • the subject of your message
  • the name of the teacher or staff member, where relevant
  • the message you submit

To help protect the website from spam, misuse and automated abuse, we also process a hashed version of your IP address for a short period. A hash is a technical representation of the IP address. We do not use it to identify you directly.

How we use your information

We use information submitted through the website forms to:

What happens when you submit a form

When you submit a form, the information is sent through our website backend and emailed directly to the school office.

The form submission is not stored in a website database that enqu, the website developer, can access.

The school may keep or delete the resulting email in line with its own email management, safeguarding, complaints, records management and data retention policies.

Anti-abuse processing

To prevent spam and misuse of the website forms, the website creates and temporarily stores a hashed version of the submitting device’s IP address.

This hashed IP address is kept for up to 4 hours and is then deleted.

It is used only for abuse prevention and rate-limiting purposes.

Who we share information with

Information submitted through the website forms is received by the school office and may be shared internally with appropriate staff where needed to handle the enquiry or pass on a message.

The website is developed and maintained by enqu, who acts as a service provider for the website. enqu does not have access to a database of submitted form messages.

We do not sell personal information.

We do not use information submitted through the website forms for marketing.

How long we keep your information

The website itself does not store the content of form submissions in a database accessible to enqu.

The hashed IP address used for anti-abuse purposes is kept for up to 4 hours.

Emails received by the school from website forms are retained by the school in line with its own retention policies. The length of time may depend on the nature of the message, for example whether it is a general enquiry, a thank you message, a complaint, a safeguarding concern or another school matter.

International transfers

We do not intentionally transfer personal information submitted through the website forms outside the UK.

Your rights

Under data protection law, you may have rights in relation to your personal information, including the right to:

  • ask for access to your personal information
  • ask for inaccurate information to be corrected
  • ask for information to be deleted in certain circumstances
  • ask us to restrict how we use your information in certain circumstances
  • object to our use of your information in certain circumstances
  • complain to the Information Commissioner’s Office

The rights available to you may depend on the lawful basis used for the processing. The ICO says privacy notices should explain people’s information rights and how they can complain if they have concerns.
